What is the Article Transfer Service (ATS)?
Last updated on February 06, 2024If your manuscript is not accepted for publication in your chosen journal, you may receive an offer to transfer your submission to a more suitable journal, via Elsevier's Article Transfer Service (ATS). If you accept this offer, your manuscript files will be transferred with no need to upload the same files again (additional files may be required depending on the journal).
By transferring your submission via ATS, you can:
- Find the best home for your paper: We identify the most suitable journals for your paperby evaluating scope, article type, data and more.
- Reduce the effort spent on resubmissions: We will guide you through the process, ensuring your transfer experience is as seamless as possible.
- Publish your article as quickly as possible: Accepting an offer to transfer your article to another Elsevier journal reduces time to publication.
How does it work?
To transfer your manuscript, click the link in the offer email. Choose your preferred destination journal from the list. Your submission details will then be moved to the new journal, allowing you to make revisions before finalizing the submission.
If you have questions navigating the process, please follow the detailed instructions below:
You can respond to a transfer offer via an email link.
Transfer offers automatically expire in 130 days by default. If you do not respond before expiration, this is treated as a declined offer. Most journals will send automated reminders before the offer expires.
- You will receive the transfer offer by email, and you can start the transfer process by clicking on the link in the email.
We advise you to check both the rejecting journal and the new journal on Editorial Manager, as your pending offer may appear in either location.
- The link will work once and cannot be reactivated. If the link was clicked but the process was not completed, you can find the pending transfer offer by logging into your Author Menu on Editorial Manager.
- Pending transfer offers can be found in the Submission Transfers Waiting for Author's Approval folder. This brings up a list of submissions with pending offers where you can:
- Click ‘Agree to transfer’ to start the transfer process, which is the same as selecting the link in the email.
- There are also links to view the Submission PDF and the Decision Letter, or to send an email to the journal.
- When you click ‘Agree to transfer’ or the email link, the Transfer Submission page will list one or more journals for transfer.
- A link next to each journal will open the EM login page for that journal in a new browser tab.
- On each journal's EM login page, you can find a link to the Guide for Authors. Please ensure you visit the Guide for Authors to learn more about the journal before agreeing to transfer.
- In some instances, the suggested journal may be a full open access journal, whereby a fee may be charged in case of acceptance. Find out more about publishing open access with Elsevier here.
- Select the destination journal you want your paper transferred to, then select the ‘Submit’ button and the submission will be transferred automatically.
After you accept a transfer offer, you must now log into the new journal and complete the submission process.
- You will receive an email notice from the destination journal with a link to complete the submission process.
- If you were not previously registered as a user in the destination journal, you will be automatically registered. Click the 'Send Login Details' button from the EM Homepage and you will receive a separate registration notice.
Click the link in this notice to complete the registration process and set your password. - If you do not receive any notice within 48 hours of agreeing to transfer, please contact us via one of the options at the foot of this page.
- In the destination journal, newly transferred submissions will appear on your main menu under ‘Submissions Sent Back to Author’ folder.
- Within this folder, select ‘Edit Submission’ to complete the submission process for the new journal.
- First check the Article Type and make the most appropriate selection, as the new journal may have different options. This choice can change the submission requirements, so do this before checking any other submission step.
- Steps that require your attention will be flagged in red in the top navigation . This may be because:
- The new journal requires additional information that was not collected in the original journal.
- The new journal has different limitations for example length of title or Abstract, or number of keywords.
- On the 'Attach Files' page, the submission files transferred from the original journal will be present.
- You may need to select 'Item' types for one or more files, as each journal can define these differently.
- You may need to upload additional required files for the new journal.
- If you choose to revise your manuscript before submitting to the new journal:
- Prepare the revised manuscript and any other files that need to be updated.
- As you revise, list the changes you are making in a 'response to reviewers' document. For example, you might copy in the review comments you have addressed.
- Remove the transferred manuscript file from the Attach Files page, as well as any other files that you plan to replace. Then
- Upload your revised file(s)
- Upload the 'response to reviewers' document.
- When ready, go to the final step and select Build PDF at the bottom of the page.
- All you need to do now is complete your submission) by approving the PDF and selecting 'Submit'. See "How can I approve my submission?"
Once an offer has been declined, or has expired, it cannot be reopened.
If you still wish to submit to another journal, you can always do so manually. For assistance please contact us via one of the options at the foot of this page, and we'd be happy to help you.
After completing the transfer:
- You'll receive an email confirming that the submission is now being processed by the destination journal.
- If you do not receive an update via e-mail within 48 hours of completing the transfer process, please contact us via one of the options at the bottom of this page.
