How do I use the 'Solicit Commentary' function to invite an author to respond to another submission?
Last updated on June 11, 2025In Editorial Manager (EM), an Editor with appropriate permissions may invite an Author to submit a commentary on a previously submitted article. One common use for this is to invite a response or 'Letter to the Editor'.
The commentary is linked with the first article in the system, making it easy to track the relationship between the two and, if desired, schedule them for publication together. The existing submission (also known as the "parent" submission) may be anywhere in the editorial/review process at the time a commentary (also known as the "child" submission) is solicited.
The invited author is able to view the Reviewer PDF of the Parent Submission.

The author receives an email invitation to submit a commentary, which may include a link to download the PDF of the Parent submission, as well as quick links to either accept or decline the invitation.
If the author agrees, they will have a link for Submit Invited Manuscript on their main menu. The PDF of the original article can be downloaded from there.
The submission process is the same as usual, except that the available article types will be different than for an unsolicited article.
Requirements to solicit commentary
To invite an author to submit a response to another submission in Editorial Manager requires all of the following:
- Editor has permission to view the 'Parent Submission'.
- Editor has permission to Solicit Commentary.
- Journal must have at least one 'Invited' Article Type configured.
- 'Parent Submission' has at least reached the status of assigned to editor and is not Withdrawn.
- The article type of the 'Parent Submission' must be configured with settings for due dates, etc., to set the parameters for the invitation(s).
How
- From the submission record for the "parent" submission, select the Solicit Commentary link. This opens the Target Publication Schedule page.
- If the Target Publication Schedule form was already completed for this Parent Submission, you will skip directly to Author Selection Summary. See Step 6 below.
- [Optional if configured] Use the drop-down list to pre-select an Article Type for the invited submission, or choose "Author Will Select" to allow the invited Author to select any invited Article Type when submitting the commentary.
- Only those article types configured as 'Invited' type will be available.
- A pre-selected Article Type may not be changed; Editors should take care to select the correct Article Type if using this feature.
- Enter Target details and default due dates .
- Target Publication Date (may be required) is used when computing due dates, estimate the latest possible date for best results. Without a Target Publication Due Date, there will be no calculated Author Submission Due Date, though one could be set manually.
- Target Publication Volume and Target Publication Issue (optional) could be merged into a letter or output in a report, but have no other function within EM.
- Author Response Due determines when authors might be reminded, as well as when they are eligible for automatic uninvitation if it is enabled in the parent article type.
- The author due date will default to this many days after the invitation is sent. 0 will result in no default due date.
- Editors must have permission in order to override configured value.
- Author Submission Due determines the default submission due date.
- The author's default submission due date will be this many days before the Target Publication Date. A 0 here will result in no due date, as will a blank Target Publication Date.
- Editors must have permission in order to override configured value.
- The journal may be configured for custom Manuscript Numbering for invited articles .
- If so, fill in the prefix, starting number, and minimum number of digits.
- Select 'Submit'. This saves data and opens the Author Selection Summary page.
- On the Author Selection Summary page, use the drop-down menu to select a search option and select 'Go'.
- Search for Authors: searches all registered users based on personal details, including People Notes.
- Search by Personal Classifications: searches all registered users with defined Personal Classifications.
- Upload Author List: allows editors to prepare and upload a list of Authors to be invited, with a minimum of First Name, Last Name, and Email address.
- Register and Invite New Author: to register an author you could not find in the database.
Note if you have several unregistered authors to invite, consider using Upload Author List to save time over repeating Register and Invite New Author.
- Search results (or uploaded Author list) appear in a list of Author Candidates.
- For registered users, you can select the name to see more detail about the person.
- If invitation notes were uploaded with an Author List, they appear here for reference.
- Tick the Inv (invite) box in the 'Select' column next to an Author's name to invite that person.
- Editors with additional permission will see an additional box Asn (assign). This will assign the author without giving a chance to decline.
- Editors with additional permission will see an additional box Alt (alternate). This will list the author as an alternate, to be invited if another author declines. See below for details.
- Select 'Proceed' to open the 'Select Authors - Confirm Selection and Customize Letters' page.
- Use the drop-down menu to select a letter (if more than one is available).
- Optional: Select the 'Customize' link to edit the template letter.
- A text box may appear under the letter dropdown. Enter any invitation notes to the Author.
- These are accessible to the Author via a link in several Author folders and to Editors in the Invited Authors section of the Details page of the "parent" submission.
- They may also be included in invitation letters by using the %INVITATION_NOTES_TO_AUTHOR% merge field.
- Select 'Submit'.
A 'Do Not Invite' checkbox allows the inviting Editor to exclude an Author on the selected results list. This may be used if the Editor has reconsidered an Author choice and does not want to invite that Author to submit.
In Editorial Manager, editors with permission can also use the Search for Authors tool to identify Authors to serve as alternates. If an invited Author declines, the next listed alternate may be automatically invited as a replacement, depending on configuration.
This alternate author functionality works much like alternate reviewers.
Find and select alternate Authors
- On the Author Selection Summary page, choose one of the search tools and select Go.
- Search for Alternate Authors
- Search for Alternate Authors by Personal Classifications
- You may also use the standard search too and select 'Alt" in the search results.
- Results of either search appear below the tool in the Alternate Author Candidates grid.
- Tick the box in the Select column to choose one or more Alternate Authors.
- Select Proceed to open the Select Authors - Confirm Selection and Customize Letters page.
- Use the drop-down menu to select a letter (if more than one is available).
- No letter is sent at the time the Author is selected as an alternate. The letter is sent if and when the alternate is promoted to invited Author.
- Optional: Select the Customize link to edit the letter.
- A text box may appear under the letter drop-down menu. Enter any invitation notes to the Author.
- Select 'Submit'.
Promotion of alternate Authors can be done manually. Promotion may also be configured to take place automatically when an invited Author declines or is uninvited. (This is configured by Parent Article Type.) Alternate Authors are promoted in the order they appear on the list.
Several tools (enabled by permission) allow Editors to manage the list of Alternate Authors :
- Use the arrow icons at the left of the list to move Authors up or down.
- Use the Promote link to move an Author to the Invited Authors list.
- Use the Remove link to delete an Author from the Alternate Authors list.
Automated promotion of Alternate Authors
When an author declines, is manually uninvited, or is automatically uninvited, then the next available Alternate Author will be automatically invited.
Automatic promotion can be disabled within the definition of the Proposal Article Type.
Pending invited authors, and agreed authors who have yet to submit, can be managed via the Parent submission.
Once Invited Authors have submitted, they will follow a normal review workflow for the journal. If there are multiple commentaries meant to be reviewed and/or published as a group, the Linked Submissions functionality can be used.
To view pending invitations and agreed authors
- Locate the parent submission.
- Use the Simple Submissions Search in the top navigation bar if you know the title or manuscript number.
- Go to the proposal tab at the top of the Editor main menu, and check My/All Submissions with Pending Commentaries. ("My" in this case means the handling editor of the parent submission.)
- Select Details to view invitation statuses and view or edit due dates.
- This will list all invitations, and their statuses.
- The due dates will be editable it you have permission.
- Journals may hide this section for some editor roles.
- The section appears only when authors have been invited.
- If you intend to invite authors, uninvite authors, etc., select the "Invite Authors" link instead.
- If any of the invited authors have completed their submission, there will be a View Related Articles link.
To locate submitted commentaries
Once submitted, an invited commentary is just like any other submission. If you are not assigned as an editor to the commentary, then you may be restricted from locating it via search or main menu folders. However, if you are assigned to the parent, you can use that to see at least basic information about any child submissions.
In folders on the Editor Main Menu, invited submissions include a View Related Submissions link. A parent submission with at least one submitted commentary will show the same link.
- Locate the parent submission, or any child submission.
- Use the Simple Submissions Search in the top navigation bar if you know the title or manuscript number.
- Go to the proposal tab at the top of the Editor main menu, and check My/All Submissions with Pending Commentaries. ("My" in this case means the handling editor of the parent submission.)
- Alternatively, try looking under the Completed section of the Proposal Menu many, for My/All Submissions with No Pending Commentary.
- Select on View Related Submissions .
- If this does not appear, either there is no fully submitted child, or else the Commentary group has been closed out.
- Related Submission view for closed commentary groups can be found in the Completed section of the Proposal Menu, under My/All Submissions with No Pending Commentary
- On the Related Submissions Page , the Parent manuscript appears at the top, and then the list of submitted commentaries underneath.
- The actions available from this screen are limited.
- If you are assigned to any of the Child submissions or have permission to act upon other editor's assignments, there will be a "Go to Submission" action. This will bring up the submission as a search result, with the full action menu including everything you have permission to do.
- You may also see a Linked Submissions action. Linked Submission groups are manually formed by editors, as opposed to the automated "Related submission" groups formed by author invitation.
Invited Authors may be reminded via:
- Automated Author Reminders if defined for the journal.
- Manual Reminders, which can be sent by editors with permission both to send reminders, and to view the parent submission.
Once all the commentaries have reached final disposition, the commentary group can be closed out, so it moves out of the Pending part of the Proposals menu.
This is not reversible, once Solicit Commentary is closed out for a parent submission, it is never possible to invite authors to comment on that same parent again.
Submissions cannot be moved out of the Submissions with Pending Commentaries folders until all invited Authors have submitted, declined the invitation, or been uninvited. It is recommended to wait until all related submissions have reached final disposition, because closing the group hides the "View Related Submission link from any views except for the "Closed" section of the Proposals menu.
To close a commentary group:
- Go to the proposal tab at the top of the Editor main menu, and check My/All Submissions with Pending Commentaries. ("My" in this case means the handling editor of the parent submission.)
- Locate the relevant parent article.
- Select 'Move to Completed Folder'. This link moves the "parent" submission and makes it unavailable for any additional commentaries. This action cannot be undone.
