How do I include a video with my submission?

Last updated on June 11, 2024

Authors who wishes to submit a video along with their article submission are strongly encouraged to include the video with a reference to the multimedia content in the body of the manuscript. Please ensure to include the location where the video would appear, and it’s associated caption.

The authors can upload the video file with rest of the submission, which will be accessible to the assigned Editor(s) and Reviewer(s).

Authors are requested to choose a relevant frame still (Thumbnail) from the uploaded video that highlights the content of your file. The chosen thumbnail image will be used in the ScienceDirect, where users can click on it to start the video playback.

Submitting video along with your article is easy, just follow the guidance and steps below.

How

Format

  • Bear in mind shorter videos tend to get better viewing figures, so try to keep length to under 5 minutes.
  • Video should preferably be submitted in .mpg (or .mp4, .mov, .avi, or .gif) format with aspect ratio of 16:9, no larger than 150 mb.
  • When submitting to a double-anonymized journal: Video content and file names should be free of any identifying author names, institution names, etc.

What to include

  • A text within the manuscript including a short caption to explain what the video shows and a brief text explaining any names of interviewers/interviewees, date of recording, and place of recording if relevant.
  • Written consent from all parties (see Consent section below).
  • A representative image file extracted from the video to be used as a "still" or "thumbnail" online.

Consent

  • Patient consent issues apply whenever there is a chance that the patient can be identified from either the article or accompanying video.
  • Patients need to give consent for their videos and imaging to appear in the journal.
  • If there is an unavoidable risk of breach of privacy — e.g. in a clinical video or in case details — the patient's written consent to publication, or that of the next of kin, must be obtained.
  • To respect patient's privacy, please do not send the consent form to us. Instead, send a statement written and signed by you, confirming that you have obtained consent from the patient.

Submitting the files

  • Follow the usual steps for submission to your selected journal.
  • When you reach the 'Attach Files' step, upload the files under the appropriate file types .
    • Many journals have specific file types available for 'Video' and 'Video Still'.
    • Where there is no specific 'Video' file type, use a more general file type, commonly 'Supplemental', use this for all associated files.
  • When you preview the PDF, the video will appear as a hyperlink to download the file.
