How can I set temporary alternate contact details in my Editorial Manager account?

Editorial Manager allows you to enter Alternate Contact information to redirect emails from EM to you,  between the start and end dates you enter. The purpose of this is to substitute your contact information for an extended—but temporary—period of time (e.g., going on a sabbatical or working in a different institution for an extended project), while continuing to present your usual email and affiliation to Editors.

If you want to continue to receive communications to your usual address and be copied at a second address, you can add the additional address your account as described in How do I change my personal information in Editorial Manager?  

Alternate Contact Information only affects communications sent from EM to you. Editors will still see the Institution, department, etc as listed in your account unless they specifically check your Alternate Contact details

  1. Log in to the Editorial Manager site for the journal.
  2. In the top menu, click Update My Information.
  3. Fill in the dates for which this alternate information should be used.
  4. If you previously saved Alternate Contact Information, more actions will be available:
  5. Below the dates, all the contact and institution information from your account is displayed. See the screenshot .

    WARNING: During the Alternate Contact period, password recovery will be sent to the first email address in the Alternate email field. Do not enter any other person's email address in this field.

    • Change any information that will be different during this period.
    • At the bottom, add any notes regarding the Alternate Contact Information. These notes may be seen by editors when viewing your account details.
    • Click Submit to save the change.

When you have saved alternate contact information:

  • Beginning at 12:00 AM US Eastern time on the Start date, any communications sent to you from EM will be sent to the Alternate Email addresses(s), instead of your main email addresses(s).
  • Emails you send from EM will display the alternate Institution etc. if those fields are included in the email template.
  • Editors will still see only your main account information viewing your profile, for example when searching for reviewers.
  • The Alternate Contact Information may be visible to editors with access to update user accounts.
  • Any user sending an email to you through EM will be able to see the alternate email as they send the message.
  • At 12:00 AM US Eastern time on the Stop date, the Alternate Contact Information will no longer be used. You could still view and optionally reactivate it by updating the dates.
