How can editor assignment of revisions be automated in Editorial Manager?
Last updated on May 06, 2025Editorial Manager offers three different options for reassigning revisions to previous editors. Only one option can be enabled per journal:
- Automatically reassign previous First Editor: bypasses all pre-assignment checks and requires no manual intervention, but only assigns the first editor.
- Allow reassignment of previous Editor Chain: allows the usual pre-assignment checks, and requires confirmation of the reassignment. The full list of editors from the previous version can be reassigned in one action.
- If neither option is enabled, revisions must be manually assigned to a single editor.
Revision workflow is configured independently from new submissions; a journal's choice to use Direct to Editor for new assignments has no effect on what happens to revisions.
In this workflow, revisions are automatically directed to the same First Editor as the previous version as 'Direct to Editor', sometimes referred to as D2E.
The only exception would be if the previous first editor no longer has an editor role, or the account has been totally disabled. In that case, revisions appear in "Revisions Requiring Assignment" to wait for manual assignment.
For editors receiving Direct to Editor Revisions
- From your main menu, click 'Direct-to-Editor Revised Submissions'.
- After viewing the submission and any checks, select the next action. Note that the available actions will depend on your permissions and other configurations. Common actions include:
- Assign to Myself: Assign to yourself as first editor (watch this short video for more details).
- View Reviews and Comments: to view all the Reviewer and Editor comments on previous versions.
- Send Back to Author: returns the submission to the author. When the author resubmits, it will return to this folder. See How do I send a submission back to the author in Editorial Manager?.
- Edit Submission: to make changes to the submission files and/or metadata
- Redirect to Other Editor: to select an alternate Receiving Editor; submission will move to that person's Direct to Editor folder. Only those editors enabled for "Editor rotation" can be selected.
- Set Final Disposition: to Withdraw the submission. Withdrawn submissions can be searched and the status can be undone via Rebuttal.
- If you chose Assign to Myself:
- The status changes to 'With Editor'.
- The submission moves to your 'New Assignments' folder.
- Continue to your New Assignments folder to take the next action on your new assignment, for example:
- Assign a second editor.
The Direct to Editor settings for new and revised submissions are independently configured; journals can have one or the other, both, or neither.
With this option, all revisions appear in Revisions Requiring Assignment, and the normal pre-assignment checks and actions are available. The option is triggered when the person responsible for handling revisions selects Assign Editor.
Instead of being asked to select a single editor, there is a "Reassign Editor Chain" screen. All the editors of the previous revision are listed, and the "Available in the next 30 days" column shows any relevant Unavailable dates.
Note: If a previous editor no longer has an Editor role, or the account has been inactivated, either the step must be removed or a different editor selected before the reassignment can be completed.
The user has several options to make changes to the assignment chain:
- Edit this Chain: Switch to Edit mode where the user can
- Select a new editor for any step
- Add, remove, or reorder steps.
- Create a New Chain: if the journal has defined Editor Assignment Chain Templates, the user can select one of these to build an all-new editor chain.
- Assign Individual Editor: opt out of reassignment, and go to the standard one-at-a-time editor assignment screen.
Once any changes have been made to the assignment chain, the user can then customize the letters and confirm the assignments. For more details see How can multiple editors be assigned in a single Chain in Editorial Manager?
When neither of the options is enabled for the journal, then all revisions appear in Revisions Requiring Assignment.
When the responsible user selects "Assign Editor", then they must choose a single editor from the list of all assignable editors appears. The editors assigned to the previous version are labeled as "First/Second/etc. Editor of previous version".
