How can an Editor view a submission's history?
Last updated on April 26, 2022Editors may be able to view the status history and past correspondence of a submission. To view a submission's history you are required to:
Note: Editors may have permission to view Status history and/or Correspondence History as two separate permissions. Contact your Journal Manager with any questions about your permissions.
- Be assigned to that submission
or - If you're not assigned, you must have the relevant Editor permissions to view the submission.
How
Follow these steps to view the history of a submission:
- Sign into the journal.
- Locate the submission on your Editor Main Menu by the status folders, by the Simple Submission Search in the top navigation, or by Search Submission.
- From 'Action' column select 'History'. See screenshot.
- The history table is displayed in a popup window.
Depending on your permissions you may see three sections:
- Status History:(see screenshot) lists chronologically each time the overall status changes. For example, it lists the first time an editor was assigned, but not any subsequent editor assignments because the status only changes at the first assignment. Columns include:
- Status Date: The time and date of the change. Note that date format is a journal specific option.
- Document Status: The status term.
- Status Days: The number of days at this status before the next change.
- Role Family: The type of role responsible for the submission at this status (Author. Editor, Reviewer).
- Revision: The revision number at the time.
- Operator: The individual whose action triggered the change of status.
- Correspondence History:(see screenshot) lists chronologically all correspondence sent through or by Editorial Manager about this submission, plus any manually added external correspondence.. Columns include:
- Add Editorial Correspondence: a button that allows you to upload the text of messages sent outside Editorial Manager to be saved into the history. The button appears only if you have this permission.
- Correspondence Date: The time and date of the correspondence.
- Date format is a journal specific option.
- Letter: the name of the letter sent, linked to a copy of the letter itself. The Letter name is usually an indication of it's purpose, but journals can customize these names.
- Recipient: The individual the letter was sent to.
- Status: The status at the time the letter was sent.
- Revision: The revision number at the time the letter was sent.
- Operator: The individual whose action triggered the letter.
- This may or may not be the official sender of the letter. To see the sender, click the letter name to check the email itself.
- For example, when a reviewer declines to review this can trigger a notice to the inviting editor, which will be sent 'from' the journal's default email, not the reviewer.
- Submission Flag History: Shows the history of certain submission flags; when they were added or removed, and by whom.
- Each flag is defined with an option to be visible or hidden in history.

After completing these steps, and depending on your permissions:
- You will see a chronological account of all updates to the status of the submission, and who performed these actions.
- You will see the full correspondence history of the submission.
- You will see a history of submission flags, for those flags with history display enabled.
