How do I use Automated Editor Summary Reminders in Editorial Manager?
Last updated on April 11, 2022Summary Reminder emails can be sent automatically to Editors (with permission to receive assignments) at regular intervals. These Automated Editor Summary Reminders (AESRs) can include summaries from up to 11 assignment-related Editor Main Menu folders compiled in a single email.
Two levels of detail are possible, either the same list of folders with number of submissions as seen on the Editor To Do List on the main menu, or the full list of individual submissions for each folder.
In addition, AESRs may be configured to include due-date Signpost information, allowing Editors a more informative quick view of their workload. Assignments that are on schedule are marked green, those requiring attention to keep them on schedule are marked amber, and those that are late are marked red.
If you receive an AESR email, it will be in one of two formats:
- Folder Summary Email gives the count in each folder with links directly to that folder. It looks very similar to the "To-do List" section on the Editor Main Menu.
- Click on any folder name to open that folder in EM. Note if you are currently logged in an author or reviewer, are proxied as another user, or are logged into a different EM site, you may have unexpected errors.
- The email may not include all your assignments. The journal can customize what is included in the summary based on your editor role, mainly Which folders are included and whether all submissions are shown, or only those running late, or in danger of running late, based on the Signposts defined for the journal.
- If the letter is formatted in rich text, it may include the same color-coded Signposts as you see on your main menu, indicating how many submissions are at each status relevant to the expected turnaround times.
- Submission List Email gives individual submissions for each folder, some with links to the most common next action.
- Click on any folder name to open that folder in EM. Note if you are currently logged in an author or reviewer, are proxied as another user, or are logged into a different EM site, you may have unexpected errors.
- Click on the action links to the light of each submission to go directly to an action for that submission.
- The email may not include all your assignments. The journal can customize what is included in the list based on your editor role, mainly which folders are included and whether all submissions are shown, or only those running late, or in danger of running late, based on the Signposts defined for the journal.
If the letter is formatted in rich text, it may include borders around each submission in the same color coding as you see on your main menu, indicating which are on schedule or overdue compared to the expected turnaround times. If you have concerns about the frequency or level of detail in the AESRs you receive, contact your journal office or main editor. If you are the main editor or journal office, contact your Journal Manager or other support contact.
Note: It is possible to include both a folder summary and a submission list in the same email, but most journals choose to send one or the other.
Contact your Publisher or Journal Manager to discuss implementing AESRs for your journal. If you already receive AESRs contact your Journal Manager with any questions or change requests.
- Each editor role's AESRs are scheduled to be sent every X days after a start date.
- Each editor role's email can be formatted in one of these ways:
- Folder Summary Email gives the count in each folder with links directly to that folder. It looks very similar to the "To-do List" section on the Editor Main Menu.
- Submission List Email gives individual submissions for each folder, some with links to the most common next action.
- The submission list format can optionally include or hide the author list and/or abstract.
- The letter could potentially include both the summary and the full submission list, but would be very long so most journal choose one or the other.
- Note: Either format could optionally be sent in plain text, without color coding or other formatting.
- Each Editor role's report can be set to include only certain status folders, each based on which time thresholds are set to be included in the email: Each folder can be set to be included in the following cases:
- Always.
- Only when there is at least one 'Needs Attention' or 'Late'.
- Only when there is at least one ‘Late'.
- Never
