How can I send reminders to other editors in Editorial Manager?
Last updated on April 16, 2024Editor Reminder Reports in Editorial Manager (EM) allow you to view pending assignments with detailed review status and send Editor Reminders to one or more of the Handling Editors. This option is available if you have permission to 'Send Editor Reminders'.
Note: Some journals may have enabled Automated Editor Summary reminders. These emails can include summaries from up to 11 assignment-related Editor Main Menu folders compiled in a single email. See Automated Editor Summary reminders in Editorial Manager.
How?
Note: Depending on your permissions, reminder reports may be limited to only those submissions assigned through your editor account.
The information shown will help you decide who needs a reminder. Select to see an example Required Reviews Complete (i.e. ready for decision) report.
- Please be aware that the current handling editor may not have been directly responsible for the entire time shown in the "Date…" and "Days since…" columns.
- For example on the Required Reviews Complete report the date will reflect when the last required review was completed, but the current editor would only have responsibility after any subordinates had already taken action.
- Select the Details or History links to see more information.
- The last columns show the date of the most recent reminder was sent, and the total number sent. This count includes only reminders sent to this editor, via an editor reminder Report, on this revision. It does not include:
- Reminders sent for another status, for example. reminders sent for 'New Assignments' are not included when you are looking at 'Required Reviews Complete'
- Automated Editor Summary Reminder Reports.
- Any reminders sent for an earlier revision.
- Ad Hoc reminders sent via the Notify Editor action
- Select the Editor's name to open their personal details, for example any unavailability dates.
- Check all /Clear all links are available, as is a drop-down to change the number of results per page.
- Note that every editor you select will get the same reminder letter, but you can customize the text for each person if you choose. To send different reminder letter templates editors must be selected in separate batches.
- Additional options are available on the Assignment Status Report only.
- View submission to open the PDF
- Invite Reviewers to open the Reviewer Selection summary (see how can I invite reviewers)
- View Reviews and Comments to view all completed reviews and editor decisions
- Reviewer Name and status column includes links to each reviewer's personal details.
- From your Main Menu, select 'Send Reminder Letters' .
- Select one of the Editor Reminder Reports .
- Assignment Status Report includes all pending Editor Assignments by Handling Editor, regardless of status. See a more detailed description of this report here.
- New Assignments Report includes only assigns at status With Editor where no reviewers have been invited.
- Required Reviews Complete Report includes only submissions where the required number of reviews have been completed, or the subordinate editor has made a decision, and the Handling Editor has not yet submitted a decision. This includes statuses Required Reviews Complete and Decision in Process.
- A screen loads to set the parameters for the report.
- For the New Assignments Report only, select whether you are looking at Outstanding editor assignments or Outstanding editor Invitations. See screenshot .
- Editor invitations are sent when the editor's role is configured for this option. Editors are considered invited until they agree to handle the submission, and then are considered assigned.
- Select Editors to include in the report.
- For the Assignment status report this is a drop down, you can select an editor role to include all editors with that role, or just one name at a time.
- For the other two reports there are tickboxes for each editor.
- For New Assignments or Required Reviews Complete you may optionally enter a number of days to limit the report by days at status .
- Optionally limit the report by Article Type and/or section, following the onscreen instructions .
- Select Submit to run the report.
- In the resulting report , tick the 'Send Reminder' box next to each Handling Editor you wish to remind.
- At the bottom, select Send Reminders
- In the next screen select a letter template to send, all editors selected will get the same template.
- Select either Customize Letter to have an option customize each editor's letter, or Send Reminders to send the default as is.
- If you chose Customize Letters :
- Select the reminder letter title link next to each editor's name to customize that letter.
- Select Do Not Remind to skip sending that reminder.
- When done select Send All Letters.
When these steps have been completed
- All the selected editors will get the chosen email, and the number of reminders sent value(s) will be advanced by one.
- A summary screen appears listing the names of the recipients.
- Links at the bottom will lead back to the report itself, back to the list of reminder reports, or back to your main menu.
