How can editors use Flags on People records in Editorial Manager?

Editors are able to add Notes and Flags to user accounts in Editorial Manager (EM). These notes and flags can only be viewed by the other Editors working on your journal and this can be configured by role, for example to exclude Guest Editors.

The Editor roles that are able to view and/or update people flags can be configured per individual journal. If you don't currently have this functionality, please contact your Journal Manager to discuss introducing it.

Flag text on a user account may need to be shared with the individual in the case of them submitting a Subject Access Request. When defining Flag names for a journal, we recommend they are kept purely factual.

How?

When a person has flags on their account, and you have permission to view them,

    • All flags on the account are displayed after the person's name almost everywhere in EM. For example in the Search People Results.
    • If you have permission to update People flags, there is always the 'Set Flags' flag to open the Set People Flags screen. This displays as a grey outline of a blank flag .
    • Hover over any flag to view the text associated with the flag, or click it to open the People Flags popup.
      • If you have view-only permission for people flag, only the active flags for the person are listed and there are no tickboxes.
      • If you have update permission for people flags, you can update the flags for the user record:
        • Tick or untick any flags.
        • Click Submit at the bottom to save changes.

Note: People flags may be used along with people notes, for example there may be a flag such as "See notes" defined to indicate an important note. See how can editors add notes to people records in editorial manager.
