How do I let a journal know I am temporarily unavailable using Editorial Manager?
Last updated on May 02, 2022Watch this short video to see how to set unavailable dates.
Reviewers and Editors who work with a specific journal in Editorial Manager can indicate unavailability dates. Setting unavailable dates in EM does not prevent emails, invitations, or assignments being sent to you, but does warn editors that you may not respond to contact during that period.
Note for Editors: You should continue to communicate as usual with your fellow Editors, Editorial Office, Journal Manager, Publishers, etc. about any upcoming absences. This function in EM is simply meant as a reminder to anyone who might assign work to you.
- Log in to the Editorial Manager site for the journal.
- In the top menu, click Update My Information .
- Click the Unavailable Dates button at the bottom of the screen, in the Additional Information section.
- A popup window appears, listing any previous Unavailable Dates you have entered.
- To cancel an Unavailable Date, click Remove at far right,
- To edit an Unavailable Date, click Edit at far right, and follow the steps below.
- To add a date, click Add New Unavailable Date at the bottom, and follow the steps below.
- To fill in the Add/Edit Unavailable Date form.
- Enter a Start and End Date by typing mm/dd/yyyy or by clicking the calendar icons.
- Enter a reason, which will be displayed to editors during your unavailable period.
- Optionally, enter up to three names and email addresses of substitutes the journal could invite as reviewers while you are unavailable.
- Click Submit to save changes.
During your Unavailable period:
- Editors inviting and managing reviewers will see Unavailable information highlighted, and can click to read the reason.
- Editors and journal staff who assign submissions to editors will see Unavailable information highlighted, and can click to see the reason.
- Each journal is configured to highlight potential Reviewers and Editors as Unavailable beginning some X number of days before the Start Date, and continuing to the End Date.
