How do I edit profiles with the new IPW?
Last updated on August 15, 2024
Use the Institution Profile Wizard (IPW) to request changes or updates to the information on the Scopus Organization profile page:
- Edit and manage the preferred and alternative name, addresses, and web address of an organization
- Manage the association of published articles to an Organization profile
- Improve the completeness of the published article set for an organization and displaying them accurately within Scopus
The Institution Profile Wizard is restricted to authorized users selected by the organization. You must have administrative access to manage an Organization profile.
Use the Profile metadata tool to edit and manage the preferred names, addresses, and web address of an organization.
- Open the Profile metadata accordion or select 'Profile metadata' from the left navigation.
- From the Profile metadata section, review and edit the preferred names, addresses, and web address.
- Select '+ Add secondary address' to add addresses (optional).
Note: Add secondary addresses if, for example, there are multiple campus addresses that are used when referencing the organization or if the address is cited in multiple languages. - Select 'Review change' to review and submit your changes (see Reviewing and submitting changes). Alternatively, select 'Save for later' to save the edit for review and continue making changes.
Note that changes are not immediate and do not appear in Scopus, or within the Institution Profile Wizard, until processing is complete.
While modifying a profile, select 'Save for later' to save potential modifications if you are unable to complete the edits in one session. When returning to edit a saved draft, you can choose to use the draft or start again. Choosing to start again deletes the saved draft.
A saved draft may become invalid if there are changes to the profile since the draft was saved. For example, significant updates to profile contents, or another user has since submitted a profile modification. If the draft becomes invalid you will need to start a new modification request.
The Linked document clusters tool allows you to remove linked documents and document clusters from your organization profile. Document clusters are groups of documents derived from the alternative organization name shared by those documents.
- Open the Linked document clusters accordion or select 'Linked document clusters' from the left navigation.
- From Linked document clusters, review and remove linked documents:
- Select 'Review cluster details' to review the documents contained under the organization alternate name.
- Review the documents contained within the cluster. Use the Filter documents by keyword field to search for specific documents within a cluster.
- Select 'Remove from cluster' to remove individual documents from the cluster. Alternatively, select 'Remove cluster from profile' to remove the entire cluster and all of its from the organization profile.
- Select 'Update cluster and continue'.
Note that changes are not immediate and do not appear in Scopus, or within the Institution Profile Wizard, until processing is complete.
- Select 'Review change' to review and submit your changes (see Reviewing and submitting changes). Alternatively, select 'Save for later' to save the edit for review and continue making changes.

- Enter any additional details or comments regarding the profile update.
- Select 'Submit request'. Your request is submitted to Scopus. Alternatively, select 'Save for later' to save the edit for review and continue making changes.

Note that changes are not immediate and do not appear in Scopus, or within the Institution Profile Wizard, until processing is complete.
- To access the Institutional Profile Wizard, open your institution's Scopus Affiliation Details page.
- From the Affiliation details page, click 'Modify institution profile'. The Institution Profile Wizard opens with the Terms and conditions for the tool's use.
- Read the Terms and conditions of use, and then click 'I agree…'
- From here you can do the following:
- The checkboxes for all items are selected.
- Select 'Apply' to add/include the whole alternate name in your profile.
- If you wish to select at the individual document level, select the checkboxes to deselect them. This will remove those documents from the alternate name.
- When reviewing the alternate names in the profile, the documents from an edited alternate name will be retained, but the documents you deselected will be removed from the profile.
- When adding an edited alternate name, only the documents that are still selected will be added to the profile.
The 'View details' display lists information derived from each document associated with the alternate name you are viewing. You may also click on a document title to review the corresponding document details page.
If the documents listed appear to belong to your institution, select 'No'. The alternate name will be removed from/will not be added to the profile.
If the alternate name contains documents from your institution, select 'Yes'.
If you have made any selections at the document level, this has the following effect:
